Thank you for agreeing to be a speaker at ad:tech tokyo 2024.
We've provided some specific guidelines to which you will give your commitment by checking the box above.
1. Speaker Contract
All speakers must agree to this speaker contract. It is essential that you educate the audience, focusing solely on the session's topic without spending any time on company descriptions or personal bios. Speakers are required to ensure the highest quality of conduct at these events.
2. Being a speaker
Try to make the session interactive and engaging for the audience.
*Have time for Q & A, use X (Twitter), etc.
3-1. Panel Session
If you are participating in a panel discussion, a moderator will be assigned to facilitate the panel. It is important for panelists to direct their responses to the audience when answering questions posed by the moderator. In solo presentations, an ad:tech adviser or MC will be assigned to introduce you.
3-2. Panel Session Recording
For preliminary PR of the event, we may conduct pre-panel sessions and release the video on our official page or other SNS platforms. A speaker must cooperate as we may also record and release some video footages recorded on the day of the actual event.
4. Upon Presenting on Stage
Please ensure you are prepared. You must arrive ready to deliver your presentation. If you are unprepared, we may cancel your session or arrange for an alternative speaker. If you cannot make a specific event due to illness, you must provide an alternate speaker to cover your presentation (ad:tech organizer reserves the right to disapprove the replacement).
5. Presentation
Kindly provide in advance a copy of your presentation materials such as PowerPoint slides so that our technician is able to prepare and coordinate the A/V aspects of the presentations accordingly. On the day of the presentation, an audio/visual technician will be available to assist you. You must use ad:tech tokyo template for PPT.
6. Stage Facilities
Standard A/V for each session room will consist of an LCD projector, screen/flat screen TV, microphone, and a podium. Appropriate A/V (e.g., a VGA switch, multiple microphones) will be provided to support multi-speaker sessions.
7. Rehearsal
Rehearse your timing. For visual presentations, a standard rule of thumb is to show 1 slide every 2 minutes. Make sure you can get through your allotted time without rushing. Please do not run over your time and use up other panelist's time.
8. Speaker's Lounge
Speakerʼs Lounge will be prepared at the venue. We will provide you with the Speaker's conference pass needed to access the venue. Secretaries, public relations, employees, etc. are not permitted to accompany you.
9. Travel & Accommodation
Speakers are responsible for booking their own travel and accommodations. Please be sure to book your hotel as early as possible.
10. Speaker Evaluation
Attendees will be asked to evaluate sessions with a survey. Ones who consistently draw high marks will be considered first for future ad:tech speaking opportunities.
11. Portrait Rights
ad:tech reserves the right to take photograph, video or audio record speakers for future ad:tech promotional purposes. Speakers grant express consent by checking the box above to agree to this speaker contract.
12-1. Failure to Perform
In the event of failure or refusal of Speaker to perform Speakerʼs obligations under this Agreement (other than failure to perform for reasons beyond Speakerʼs control), all costs, charges and expenses Comexposium Japan K.K. incurs shall be part of the damages to be paid by Speaker to Comexposium Japan K.K. as a result of such failure or refusal to perform, including but not limited to attorneysʼ fees and expenses.
12-2. Change of the Speaker
Change of the speaker is generally not accepted. In case the speaker needs to request the change of the speaker, the speaker must find and suggest another speaker who meets the organizersʼ requirement and get approval from the organizer. The organizer will do the screening and the speaker will be accepted only when the organizer approves the speaker.
Moderators will contribute to making the session successful.
Moderators will agree to take a Moderator training session at least once from the Contents Director.
Moderators will not use the contents or the speakers for their own selling or business purposes.
Moderators will collaborate with the Contents Director to propose the contents and speakers, sharing half of the responsibility.
Moderators need to make the effort to understand the speaker's background so that the speakers are comfortable with their session.
To support diversity, ad:tech tokyo aims to have half of the speakers be women.
If you cannot follow the above, ad:tech tokyo has the right to ask you to decline the position of a moderator. There also may be changes in the program.
